How we Helped a Regional Service Provider to Resources Sector

Less clutter, with average inbox improving from 504 emails pre-PEP down to 24 emails post-PEP

Improved ability to fit workloads into ‘normal hours’ with a reported 20.86% DROP in hours spent working

Gained clarity on job roles, improving autonomy and reducing procrastination

This client is an established Chinchilla-based business. Offering maintenance and project services with a focus on sustainability and responsiveness, delivering exceptional outcomes for clients across Southern Queensland. Career progression opportunities are presented to employees within the organisation as they experience continuous growth in their industry.

The Challenge

The client experienced fast-paced growth and employees found themselves tasked with multiple responsibilities, resulting in conflicting priorities. With their workloads growing, employees reported that they weren’t always able to respond to clients in a timely-manner and tenders were only finished the day they were due.

The majority of their office workers were self-taught in workload management, resulting in challenges that included:

  • inability to effectively deal with increasing volume of work
  • mismanagement of tasks and emails – with some supervisors reporting that they had thousands of emails in their inbox
  • overlooked critical communications between teams or clients
  • operating in a highly reactive and fluid environment with a lack of strategy
  • managing interruptions and distractions
  • dealing with multiple stakeholders with competing customer/internal requirements
  • working effectively both individually and collectively

These challenges meant team members seemed ‘stuck’ at their desks, unable to allocate time for engaging in the workshop or on-site.

``I have many interruptions throughout the day, being from the staff I supervise to emergency breakdowns, clients wanting everything or information straight away etc.``

Our Solution: Customised PEP Program

A representative from the organisation reached out to PEPworldwide after others in their network had experienced success with PEP programs. There were 10 employees identified that could benefit from a customised PEP program that focused on workshops and coaching to develop productive behaviours, enabling:

  • individuals’ ability to efficiently manage their workloads and focus on high-return activities
  • team’s effectiveness through increased clarity on job roles, effective communication strategies and common work practices
  • Sustainable behaviour change through practical application of principles

To achieve optimal results, PEP strategically delivered a combination of workshops and 1:1 coaching sessions across a timetable of several weeks, allowing attendees to apply and practice their learnings immediately.

The Outcome

Throughout the program, attendees were able to implement new skills and reported a dramatic improvement in workload backlog, including:

  • less clutter, with average inbox improving from 504 emails pre-PEP down to 24 emails post-PEP
  • improved ability to fit workloads into ‘normal hours’ with a reported 20.86% DROP in hours spent working
  • gained clarity on job roles, improving autonomy and reducing procrastination

Attendees also reported feeling less anxious with a reduction in stress and improved ability to manage better structure in meetings and workload management.
PEP takes a sustainable approach to transforming productivity habits and behaviours, meaning that attendees are empowered to continue streamlining activities.

``I can trust I am not going to miss anything important.``

Conclusion
